Privacy and Personal Data Policy

The Association of Oncologists of Uzbekistan (“AOUZ,” “we,” the “Association”) treats users’ personal data with care. This policy explains how data is collected, processed, stored, and protected when using the AOUZ website, submitting a membership application, and using related services.

1. General provisions

This document applies to the Association’s official website and its related online processes. By using the site, the user is given the opportunity to review this policy. If you do not wish to provide personal data, some services may not be fully available to you.

This policy applies in accordance with the current legislation of the Republic of Uzbekistan and the Association’s internal regulations. This text may be published as a draft prior to final legal approval.

2. What data may be collected

The following data may be provided by the user voluntarily or as necessary for a service:

  • first name, last name, and contact details (email, phone);
  • account data and technical records related to authentication;
  • professional data provided in a membership application (organization, position, specialty, region, etc.);
  • the text of inquiries, messages, or applications;
  • other data voluntarily submitted by the user.

To ensure the site’s operation and security, technical data such as IP address, browser and device type, visit time, requested pages, and security logs may be recorded.

3. Purposes of processing

Data may be processed for the following purposes:

  • providing requested services and responding to inquiries;
  • managing the account, membership application, and membership status;
  • informing about the Association’s activities, events, or services (where relevant consent exists);
  • ensuring security, detecting misuse, and resolving technical faults;
  • improving service quality and fulfilling legal obligations.

Marketing or informational messages are sent only on the basis of separate, voluntary consent. Consent given with a membership application is distinct from consent to a newsletter.

4. Membership applications

When submitting a membership application, the user provides the data necessary for its review and confirms that they have read the relevant legal documents (including this policy and the Terms of Use).

Application data is used solely for review, communication, decision-making, and formalizing membership. Providing false or misleading information may result in the application being rejected.

5. Member ID and membership data

Once membership is confirmed, the user may be assigned a Member ID and records related to their membership status. This data may be used to identify membership, track its term, provide member-cabinet services, and for internal reporting.

The Member ID and related records are disclosed to third parties only where a basis set out in this policy exists.

6. Data retention

Personal data is retained for the period necessary for the purpose of its collection, or within the scope of applicable legal and organizational requirements.

Once no longer necessary, data may be deleted, anonymized, or archived in accordance with applicable retention requirements.

7. Disclosure of data to third parties

AOUZ does not sell users’ personal data.

Data may be disclosed to third parties only in the following cases:

  • trusted service providers necessary for the technical operation of the service;
  • authorized bodies where a legal request exists;
  • other cases where the user’s explicit consent exists.

In such cases, use of the data is limited to what is necessary.

8. Email and notifications

Service notifications related to membership or an account (for example, application status or term reminders) may be sent for the purpose of providing the service.

Newsletter or marketing messages require separate, voluntary consent. The user may opt out of such messages at any time. External SMTP or other mail channels are enabled only with separate, confirmed authorization.

9. Cookies and technical identifiers

Necessary technical cookies and similar identifiers may be used to ensure the site functions correctly, for authentication, security, and to remember user settings.

If analytics or other optional technologies are introduced in the future, their use will be governed by an appropriate consent mechanism.

10. Information security

AOUZ applies appropriate organizational and technical measures to protect data against unauthorized access, alteration, disclosure, loss, or unlawful use.

Absolute security of data transmission over the internet cannot be guaranteed. The user is responsible for protecting their own account credentials.

11. User rights

The user may submit a request to clarify, update, or, where a legal basis exists, to delete or stop the processing of their data.

Such requests are accepted through the Association’s official communication channels. Identity verification may be required to process a request.

12. Changes to this policy

This policy may be updated in connection with changes to the site’s functionality, services, or legal requirements. The current version is published on the site. Additional notice may be given of material changes.

This document may be updated through the CMS; the version and review status are stored in the page’s metadata fields.
